  • Agreement: The contract established between the user and the event organizers through the website and event registration.
  • Clause:  Any clause within these Terms and Conditions.
  • Contract: Refers to these Terms and Conditions.
  • Edition: Denotes the fourth edition of Dent-X Congress scheduled for the spring of 2024, occurring between March 25th and March 31st.
  • Event: Signifies Dent-X Congress, also interchangeably referred to as “congress” or “conference.”
  • (Event) Locations: Encompasses all venues where activities related to Dent-X Congress will occur.
  • (Event) Registration: The completion of the registration process by congress website users.
  • (Event) Venue: Refers to Radisson Blu Hotel (Bucharest, Romania), the location for the current edition of the congress this spring.
  • (Event) Website: Encompasses the official Dent-X Congress website and all associated pages and content.
  • LSMDB: Stands for Bucharest Dental Students’ Association.
  • Participant(s): Refers to registered users who have purchased a package for the current congress edition.
  • Registration Form: Denotes the form through which users can register for the current edition of the congress.
  • Team: Represents the Central Organizing Team of the event, also referred to as “us,” “we,” “organizers,” or “the organizing team.”
  • User(s): Encompasses anyone accessing any pages of the website.
  • You: Denotes anyone reading this document.

1.2 Website Usage:

All clauses regarding the use and browsing of the event website are applicable solely to https://dentxcongress.ro and its related pages. Access to our site is temporary, and we reserve the right to withdraw or amend the provided service without notice. In the event of technical work on the website, a page containing the phrase Website Maintenance will be displayed to all users accessing the specified URL. We shall not be held liable if, for any reason, our site is unavailable at any time or for any period.

Chapter 2

Intellectual Property

2.1 Ownership:

The materials and content found on the Dent-X Congress website, encompassing text, graphics, logos, images, audio clips, video clips, and software, constitute the intellectual property of the event. These assets are safeguarded by applicable copyright and trademark laws. LSMDB is the sole owner of all intellectual property rights on our site, including connected materials and content, along with guidelines. Any content displayed on the website that is not part of the association’s intellectual property will be explicitly sourced to respect general Online Intellectual Property Rules & Conduit.

2.7.2 Permissible Use:

You are allowed to print copies and download extracts of any page(s) from our site for personal reference. Additionally, you may share material from our site with others.

2.7.3 Restrictions on Modification:

Event Registration

3.1 Registration Process:

Registration for the event is exclusively available online through the event website and involves completing the registration form, followed by a verification process conducted by the Technical & Logistics Department. The initial step to register entails accessing the dedicated registration page and submitting the completed registration form.

3.2 Verification Timeline:

The verification process is conducted manually by the Technical & Logistics Department, thus we reserve a 48-hour window from the account creation timestamp to ensure the accuracy of participant data. Inconsistencies discovered during this step will be brought to the attention of the user via e-mail.

3.3 Registration Period:

Users can only register for the event within the designated registration period, clearly communicated by the organizers on the event website and social media channels related to the event registration process.

3.4 Accuracy of Information:

All fields in the registration form must be accurately completed, and users commit to double-checking all entered information before submitting the form for account registration. It’s imperative that participants understand and adhere to our Privacy Policy, which governs the responsible handling of this sensitive information. This alignment underscores our dedication to data protection, privacy, and ethical information practices, empowering participants to actively contribute to a secure and tailored congress environment.

3.5 Data Correction:

In the event of any incorrect data submitted by the user, it is the participant’s responsibility to contact the Secretary Department for correction. Modification requests can only be submitted via email before the registration period concludes. Requests should be directed to dentxcongress@lsmdb.ro, including the applicant’s name and the information requiring correction, aligning with the clauses outlined in Article 3.4 of the registration section in these terms and conditions.

3.6 Types of Participation:

3.6.1 Active Participants:

Individuals opting for Active participation are those eager to actively contribute to the Dent-X Congress. To qualify as an Active participant, one must submit an abstract for consideration by the Scientific Department. Upon approval, Active Participants gain the opportunity to present their work and engage in the Lecture Competition with a scientific paper. Active participants are not required to purchase a congress package separately, as their registration includes access to the full event.

3.6.2 Passive Participants:

Passive participants are attendees who choose not to submit abstracts or participate in the Lecture Competition with a scientific paper. This category includes individuals physically present at the event who solely wish to attend without presenting. Passive participants must purchase a congress package to secure their spot at the Dent-X Congress. Detailed information regarding package options and add-ons is available in the dedicated “Congress Packages & Add-Ons” chapter.

3.6.3 Students and 1st Year Dentistry Residents Participation:

Students and 1st Year Dentistry Residents have the flexibility to choose between Active and Passive participation. Those opting for Passive participation must submit an abstract to the Scientific Department, following guidelines outlined in the “Lecture Competition” page of our website. This unique opportunity allows students and 1st Year Dentistry Residents to attend the event as full participants, while actively contributing to the scientific discourse.

Chapter 4

Congress Packages & Add-Ons

4.1 Overview:

Congress Packages serve as the equivalent of the registration fee required for participation in the Dent-X Congress, encompassing various amenities based on the selected package type. This edition offers two package options: Standard and VIP. The Standard package is further divided into two forms: the Standard for Students Package, available to 1st to 6th Year students from Dentistry Faculties in Romania and abroad, and the Doctors Package, which mirrors the facilities of the Standard package but is designed for graduates from Dentistry Faculties.

4.1.1 Standard for Students Package:

Tailored to cater to the academic journey of 1st to 6th Year students, the Standard for Students Package ensures an enriching congress experience. This package is crafted to align with the specific needs and expectations of students pursuing dentistry globally.

4.1.2 Doctors Package:

Designed for Dentistry Faculty graduates, the Doctors Package mirrors the facilities of the Standard for Students package. The only distinction lies in the workshop registration, with Doctors Package owners being eligible to register for only one workshop. This ensures a balanced workshop experience for students.

4.2 Academic Status Verification:

Maintaining fairness and accuracy, academic status verification is a crucial component of the registration process. Any attempt to falsely claim a different academic status, such as doctors registering as students for a discount, is strictly prohibited. Violation of this rule has grave consequences, including potential elimination from the current congress and restrictions from participating in future editions.

4.3 Purchase Process:

Packages can be conveniently purchased directly from our website after completing all registration steps, including account creation and validation. Users will receive notification of account validation via the provided email address, allowing them to proceed with package purchase.

4.4 Add-Ons:

Add-Ons are additional facilities that can be included when purchasing a package. For this year’s edition, there are two available add-ons for both Standard and Doctors Package owners:

4.4.1 Lunch Add-On:

This option provides participants the opportunity to enjoy a delightful and savory lunch at the event venue on all three days of the congress.

4.4.2 Closing Gala Add-On:

Participants can opt for this add-on to attend the prestigious Closing Gala of the congress. This distinguished event honors sponsors, lecturers, and our team.

4.5 Pricing and Details:

Detailed information on the pricing of packages, along with their respective facilities, can be found on the Fees & Packages page of our website. Payment details are outlined comprehensively in the dedicated “Payment” chapter within these terms and conditions.

Chapter 5

Workshops Registration

5.1 Eligibility:

Workshop registration is an exclusive benefit for participants who have completed the congress package purchase. This ensures that individuals fully engaged in the Dent-X Congress experience can access and benefit from the hands-on learning opportunities provided by the workshops organized in this edition of the event. Participants are required to complete their workshop registration within the specified period communicated on the congress website.

5.2 Workshop Topics and Design:

Tailored to align with various years of study, workshops offer targeted insights into specific themes. The recommended year of study for each workshop is clearly communicated on the product page and across our social media platforms. To accommodate diverse interests, participants are allowed to register for workshops recommended for a study year beyond their own, broadening the educational scope.

5.3 Limited Spaces and Overselling Policy:

Recognizing the importance of an intimate and interactive learning environment, workshops have a limited number of available spaces, prominently disclosed on the congress website product page and through our social media channels. In the rare instance of a faulty purchase that exceeds the maximum capacity, the full registration fee for the user will be promptly refunded. Our commitment to participant satisfaction is reflected in a 72-hour resolution period to address and rectify any issues arising from the overselling of workshop spaces.

5.4 Registration Limitations based on Packages:

Acknowledging the diverse needs of our participants, registration limitations based on congress packages are established. VIP Package holders enjoy a distinct advantage, gaining an extra day before the general registration period to secure their preferred workshops. This prioritized access enhances the overall congress experience for such participants. On the other hand, Doctors, while welcomed to engage in workshops, are limited to registration for a single workshop. This ensures fair distribution of workshop opportunities for students, allowing broader participation across various sessions.

Chapter 6

Payment

6.1 Payment Platform:

To ensure a secure and seamless payment experience, the exclusive payment platform for this congress edition is provided by Banca Transilvania. This platform serves as the dedicated channel for all financial transactions associated with the congress. Participants are required to utilize this reliable and trusted online payment solution, offering both efficiency and security.

6.2 Online Card Payments:

Emphasizing user convenience, payments are only availbe to be made online using debit or credit cards. This process is integrated into the check-out step on our website, streamlining the payment experience for participants. Online debit card payments not only enhance the ease of financial transactions but also contribute to the overall efficiency of the registration and purchase processes.

6.3 Privacy Policy Compliance:

We prioritize the protection of participant information. All data provided during the check-out process and through the payment gateway strictly adheres to our Privacy Policy. This commitment ensures that personal details and transaction information are treated with the highest level of confidentiality and are used exclusively for the intended purpose of completing the registration and payment processes.

6.4 Security Measures:

The security of payment information is paramount. All sensitive data, including card number, expiration date, cardholder name, and card CVC, undergoes a robust and secure processing mechanism provided by Banca Transilvania. This approach aligns with the General Guidelines of Online Payments, reflecting our dedication to implementing industry-standard security measures. Participants can have confidence that their financial information is handled with the utmost care, safeguarding against unauthorized access and ensuring a secure payment environment.

Chapter 7

Refunds Policy

7.1 Event Cancellation:

In the unlikely event of the congress being canceled, we understand the disappointment and inconvenience this may cause. However, to facilitate a seamless transition to the next edition, the full sum expended by participants will be preserved for their utilization in the subsequent congress. This approach ensures that the financial commitment made by participants remains secure and can be applied towards their participation in the future.

7.2 Package Refunds & Transfers:

Participants are advised to make informed decisions during the registration process, as all congress packages, including workshop selections, are deemed non-refundable and non-transferable. Once the payment is successfully completed, the registration fee becomes non-refundable, regardless of any subsequent changes in the participant’s circumstances or decisions related to event attendance. This policy underscores the importance of careful consideration before confirming participation.

7.3 Workshop Attendance and Transfers:

Workshops are curated to provide a tailored and interactive learning experience. To maintain the integrity and quality of these sessions, participants are reminded that workshop spaces are non-transferable between individuals. Each workshop spot is reserved exclusively for the participant who registered for it. This policy ensures fairness and equal access for all participants, optimizing the learning experience for each workshop attendee.

Chapter 8

Force Majeure

8.1 Force Majeure Event:

Neither party shall be deemed in default of this agreement to the extent that performance of their respective obligations, including but not limited to event organization, participation, workshops, and payments, is delayed or prevented by reason of any act of fire, natural disaster, pandemic, epidemic, government action, or any other cause beyond the reasonable control of the party invoking this clause.

8.2 Notification and Cooperation:

In the event of a force majeure occurrence, the affected party shall promptly notify the other party of such circumstances and take all reasonable steps to resume performance. The parties agree to cooperate in good faith to explore alternative arrangements to fulfill their respective obligations.

8.3 Excuse from Performance:

During the period that performance is delayed or prevented by force majeure, the affected party shall be excused from performance and shall not be liable for any damages or penalties arising out of the delay or prevention, provided that the affected party uses diligent efforts to remedy the situation.

8.4 Refund Entitlement:

In the event of termination due to force majeure, participants shall be entitled to a refund to the extent possible. The organizers will disburse refunds based on the funds remaining after accounting for the costs already incurred in the preparation and execution of the congress. The organizers shall make reasonable efforts to provide participants with as much refund as practicable under the provided circumstances.

Chapter 9

Other Event Guidelines & Clauses

9.1 Data Processing Consent:

Participants, by registering for the 4th edition of Dent-X Congress, acknowledge the necessity of data processing by the event organizers. This processing aligns with the legal frameworks governing data protection. It encompasses information provided during registration and serves the purpose of event administration, communication, and related activities. More information regarding data collection and processing can be found on the Privacy Policy.

9.2 Media Material Usage:

Upon successful registration, participants generously contribute to the event’s promotional activities by granting consent for the utilization of media materials. These materials, including images and videos captured during the event, may be strategically used for advertising purposes. This may involve publication on various platforms such as the event website, social media pages, and promotional materials for both the event and its partners.

9.3 Code of Conduct:

Participants commit to upholding a conduct that resonates with the nature of the event and its diverse locations. Acknowledging the event’s independence from cultural, political, or religious affiliations, participants are encouraged to foster an inclusive and respectful environment throughout the duration of the current edition of Dent-X Congress.

9.4 Intoxication and Personal Responsibility:

The organizers emphasize the importance of a sober and responsible attendance at the event. Participants are explicitly prohibited from attending under the influence of any intoxicants. This rule is in place to ensure the safety and well-being of all attendees. Individuals are reminded of their direct responsibility for personal alcohol consumption and the potential consequences that may arise from it during the event.

9.5 Liability and Damages:

While the organizers strive to create a safe environment, they disclaim liability for material or physical damages, as well as any unfortunate incidents resulting in harm or death during the event. Participants are urged to conduct themselves responsibly, and in case of any material damage caused to event locations or materials belonging to the organizers, they are expected to bear the associated costs.

9.6 Theft Policy:

The event maintains a zero-tolerance policy towards theft. Participants are explicitly warned against engaging in any form of theft, and the organizers hold no responsibility for thefts that may occur on the event premises. This clause emphasizes personal accountability and urges participants to consider the consequences of their actions.

9.7 Non-Compliance and Access Revocation:

To ensure a harmonious and lawful environment, the organizers reserve the right to revoke access to the event for participants found in non-compliance with the law, internal event regulations, or those whose behavior is inconsistent with the nature of the event. This measure is in place to safeguard the overall experience for all attendees.

9.8 Video Material Distribution:

Participants are granted access to video materials for personal use only. While sharing brief segments, lasting less than one minute, on social media platforms is allowed, any distribution that harms the image of the congress or violates the intellectual property rights of the event is strictly prohibited. This clause underscores the importance of responsible sharing and respects the integrity of the event’s intellectual property.
