Chapter 01
General Provisions
1.1. Scope and Acceptance:
These Terms and Conditions (“Terms and Conditions” or “Contract”) govern both the use of the Dent-X Congress website (including all pages under dentxcongress.ro related to the 6th Edition of Dent-X Congress) and the general terms of registration and participation in Dent-X Congress, 6th Edition (“Event”). By accessing the Event website as a guest or registered user, or by registering to participate in the Event, you indicate your acceptance of these Terms and Conditions and agree to abide by them. Please read this document carefully before using the site or registering. If you do not agree with any of these provisions, you must refrain from using the website and must not register for the Event.
1.2. Representation and Eligibility:
By agreeing to these Terms and Conditions, you represent that you are at least 18 years of age (or if younger, that you have obtained parental/guardian consent) and that you have the legal capacity to enter this Contract. You also represent that you meet the eligibility criteria for your chosen participation category (e.g., student status or professional status as applicable). The Organizers reserve the right to verify participants’ eligibility and compliance with these Terms.
1.3. Definitions:
For the purposes of these Terms and Conditions, the following terms shall have the meanings defined below:
- Organizers (or “we”/“us”/“LOC”): the Local Organizing Committee of the Dent-X Congress 6th Edition, being the Asociația „Liga Studenților la Medicină Dentară București” (Bucharest Dental Students’ Association – LSMDB), which is the sole organizer of the Event.
- Event: the 6th Edition of Dent-X Congress, scheduled to take place from March 9 to March 15, 2026, in Bucharest, Romania. Unless stated otherwise, this includes all official congress activities during those dates.
- Event Venue: the physical location where the congress’s main activities are held, namely the Radisson Blu Hotel, Bucharest, Romania. The term Event Locations may be used to refer collectively to the Event Venue and any other official locations where Dent-X Congress activities (e.g., workshops, social events) take place.
- Event Website: the official website and online platform for Dent-X Congress (accessible at https://dentxcongress.ro and related subpages), through which users may obtain information and register for the Event.
- User: any person who accesses or browses the Event Website, regardless of whether they register an account or not. This includes “you” as used in these Terms and Conditions.
- Participant: any individual who has successfully registered for and been granted access to the Event. Participants may be further classified as Passive Participants (attending the congress sessions without presenting original work) or Active Participants (those presenting research, as defined below). A Participant is considered registered and accepted once the registration process is completed and the applicable fee is paid and confirmed by the Organizers.
- Active Participant: a Participant whose submitted abstract or scientific work has been accepted by the Scientific Committee, granting them the opportunity to present their research during the Event (specifically in the Lecture Competition or designated scientific sessions). Active Participants are sometimes informally called “lecturers” or “competition participants” in congress materials. Active Participants are not required to purchase a separate congress pass, as their registration and acceptance include access to the Event as detailed in Chapter 7.
- Applicant: any person who has completed and submitted an Event registration form (or an abstract submission, in the case of prospective Active Participants) but who has not yet received confirmation of acceptance as a Participant. In the context of general attendance at Dent-X Congress, an Applicant typically becomes a Participant immediately upon payment confirmation (since Dent-X Congress does not generally employ a selection process for passive attendees, subject to capacity), whereas for Active Participants, an Applicant becomes a Participant only if and when their abstract is approved.
- Edition: the specific edition of Dent-X Congress to which these Terms and Conditions apply. Edition refers here to the 6th Dent-X Congress, taking place in Spring 2026. (For reference, past editions were held annually; e.g., the 5th Edition took place in 2025.)
- Congress Pass (or Pass): the access credential obtained by registering for the Event and paying the corresponding fee, which entitles the Participant to attend the congress. Pass types for the 6th Edition include the Student Pass, VIP Student Pass, Young Doctor Pass, and Doctor Pass, as defined in Chapter 4. (In previous editions these were referred to as “Packages.”) A Pass is essentially the registration package conferring certain rights of access and benefits during the Event.
- Registration Form: the online form on the Event Website through which users provide personal information, professional/student status, and other required data in order to register for the Event. Submission of the Registration Form is the first step in the registration process for obtaining a Congress Pass.
- Scientific Committee: the committee or department of the Organizers responsible for evaluating submitted abstracts and overseeing the scientific content of the congress (lectures, panels, competitions, etc.).
- Scientific Program: the scheduled academic content of the Event, including but not limited to thematic panels, lectures, keynote speeches, roundtable discussions, and the Lecture Competition. For the 6th Edition, the Scientific Program is expected to comprise eight (8) thematic panels (each featuring one international keynote speaker and 2-4 additional expert speakers) and four (4) roundtable discussions, among other sessions. The Scientific Program may also include hands-on workshops and masterclasses (see Workshops below).
- Lecture Competition: a component of the Scientific Program where Active Participants present their accepted research papers or case studies. The Lecture Competition for the 6th Edition is scheduled to take place on March 12, 2026 (subject to the final program), and may feature awards or recognition for the best presentations.
- Workshops and Masterclasses: practical training sessions offered during the Event, which participants can separately register for. Workshops are categorized by difficulty/experience level into four tiers – Entry, Progressive, Advanced, and MasterClass – with Entry being introductory and MasterClass being the most advanced/expert level. Masterclasses may be longer or led by distinguished experts in a specialized field. Workshops and Masterclasses have limited capacity and may require an additional fee or pre-registration, as detailed in Chapter 6.
- Social Program: the official social events of the congress organized for Participants, such as the Opening Party and other networking or entertainment events during the congress week. (The Closing Gala is an example of a social event; for the 6th Edition, access to any closing gala or similar event is exclusive to VIP Student Pass holders and invited guests – see Chapter 4 – and is not offered as a separate purchasable add-on to other participants.)
- Contract: these Terms and Conditions, which form a binding agreement between each Participant (or User of the website) and the Organizers (LSMDB). All clauses of this document, as well as any referenced policies (such as the Privacy Policy or Refund Policy), are considered integral parts of the Contract governing the relationship between you and the Organizers. Each numbered clause or sub-clause in this document may be referred to as a “Clause” for interpretative purposes.
1.4. Modifications to Terms:
The Organizers reserve the right to amend or update these Terms and Conditions at any time, at their sole discretion. Any such changes will be effective once posted on the Event Website (or otherwise communicated to registered participants via email or on the platform). It is your responsibility to review the Terms and Conditions periodically for updates. Continued use of the Event Website or continued participation in the Event after any modifications constitutes acceptance of the revised Terms and Conditions. If you do not agree to a change, you must cease using the website and, if already registered, you may contact the Organizers to address any concerns or consider canceling your participation (subject to the cancellation and refund policies in Chapter 10).
Chapter 02
Website Use and Intellectual Property
2.1. Permitted Use of the Site:
Access to the Event Website is provided temporarily and “as is.” As a User, you are permitted to navigate the site, learn about the Event, and use the online registration system for the legitimate purpose of registering yourself (or, if permitted, registering a group) for Dent-X Congress. You may also download or print materials from the site for personal reference related to the Event. You must not misuse the Event Website or any interactive features provided. Misuse includes, but is not limited to, attempting to gain unauthorized access to accounts or data, introducing malware or harmful code, or any activity that disrupts the normal operation of the site. The Organizers may suspend or terminate access to the site for any User (including registered participants) who engages in prohibited conduct or otherwise violates these Terms and Conditions.
2.2. Website Availability:
We strive to maintain continuous availability of the Event Website, but we do not guarantee that the site will be available at all times or without interruption. The Organizers reserve the right to temporarily suspend access to the website for maintenance, updates, or technical issues, or to modify or discontinue any part of the website’s functionality at any time, with or without notice. In the event that maintenance is required, a notice such as “Website Under Maintenance” may be displayed. The Organizers shall not be liable for any loss or inconvenience suffered due to the website being unavailable or any portion of it being slow or inoperative.
2.3. User Account and Security:
Certain features of the Event Website (such as registering for the congress or purchasing a Pass) require the creation of a user account and the submission of personal information. You are responsible for maintaining the confidentiality of your account credentials (username and password) and for all activities that occur under your account. You agree to provide accurate, current, and complete information when creating an account or filling out the Registration Form, including but not limited to your name, contact information, and eligibility details (such as university and year of study for students, or graduation year for young doctors). You also agree to promptly update your account information if any changes occur before or during the Event. If you believe your account has been compromised or accessed without authorization, you must inform the Organizers immediately. The Organizers are not liable for any loss or damage arising from your failure to safeguard your account credentials.
2.4. Personal Data and Privacy:
All personal data collected through the Event Website (including data submitted in the Registration Form and any documents uploaded, such as student IDs or identification documents) will be processed by the Organizers in accordance with the Dent-X Congress Privacy Policy and applicable data protection laws. By using the site and registering, you acknowledge that you have read the Privacy Policy and consent to the processing of your data for the purposes of organizing and administering the Event. This includes using your contact information to send you communications about the congress (e.g., confirmations, updates) and using provided identification or student status documents to verify eligibility for specific Pass categories. The Organizers will implement appropriate technical and organizational measures to protect personal data; however, you understand that no data transmission over the internet is completely secure, and you provide data at your own risk.
2.5. Content of the Website:
The Organizers strive to ensure that all information on the Event Website (including schedules, speaker lists, pricing, and policies) is accurate and up to date. However, the Event is a live endeavor and details are subject to change. The Organizers do not warrant the completeness or accuracy of all content at all times. We reserve the right to correct errors or omissions and to update information as needed. All content on the site, including text, graphics, logos, and documents, is provided for general informational purposes and is subject to modification.
2.6. Prohibited Uses:
When using the Event Website, you agree not to: (a) engage in any unlawful or fraudulent activity; (b) post or transmit any harmful, obscene, defamatory, or otherwise objectionable content; (c) use any automated system (such as bots, scrapers, or spiders) to access the site in a manner that sends more request messages to our servers than a human can reasonably produce in the same time; (d) attempt to interfere with the proper working of the site, including by attacking it via denial-of-service (DoS) or distributed DoS attacks; or (e) collect or harvest any personally identifiable information from other users of the site without their consent. The Organizers reserve the right to restrict or terminate your access to the site if we suspect any misuse or violation of these provisions, and we may take appropriate legal action in the event of serious violations.
2.7. LSMDB Proprietary Rights:
All intellectual property rights in and to the Event Website and the content published on it are owned by LSMDB (the Organizers) or are included with permission of the rights owners. This includes, but is not limited to, the website’s design, layout, text, graphics, logos, and any materials produced for the congress (such as program booklets, promotional materials, guidelines, etc.). They are protected by copyright, trademark, and other intellectual property laws.
- 2.7.1. Ownership of Content: Unless otherwise indicated, LSMDB is the sole owner (or legitimate licensee) of all content on the Event Website and of all Dent-X Congress branding and materials. You acknowledge that you acquire no ownership rights by using the site or by downloading authorized materials from the site.
- 2.7.2. Limited License for Personal Use: You may print or download extracts of content from the Event Website for your personal use or reference in connection with the Event. For example, you may download the congress schedule, or print pages for personal planning. When doing so, you must not remove or obscure any copyright, trademark, or other proprietary notices. This permission for personal use does not include any right to modify the materials or use them for any commercial purpose.
- 2.7.3. Restrictions: You must not modify, reproduce, distribute, create derivative works from, publicly display, or commercially exploit any part of the Event Website or the content on it without prior written permission from the Organizers. This includes refraining from using any illustrations, photographs, or graphics separately from the accompanying text or context provided on the site. Our status (and that of any identified contributors, such as speakers or authors) as the authors or owners of material on the site should always be acknowledged. If you breach these Terms by printing, copying, or downloading any content in violation of this clause, your right to use the site will cease immediately and you must, at our request, return or destroy any copies of materials you have made.
- 2.7.4. Trademarks: The name “Dent-X Congress”, the Dent-X Congress logo, and any slogans or themes (such as “Architects of Future Smiles” for the 6th Edition) are trademarks or service marks of LSMDB. Any other company names, product names, or logos on the site may be trademarks of their respective owners. Nothing in these Terms grants you any license or right to use any trademark displayed on the site without the Organizers’ or the respective owner’s prior written consent.
2.8. Third-Party Links and Content:
The Event Website may contain links to third-party websites or incorporate content (such as videos or social media feeds) from third-party services. These links and content are provided for convenience and informational purposes only. The Organizers have no control over third-party websites or services and accept no responsibility for their content, availability, or practices. If you click on an external link, you will be subject to that third party’s terms and policies. Inclusion of any third-party link or content on the Dent-X site does not imply endorsement by the Organizers. We advise you to review the terms and privacy policies of any third-party sites you visit.
2.9. Liability for Website Use:
The Organizers will make reasonable efforts to ensure the security and functionality of the Event Website. However, to the maximum extent permitted by law, we do not warrant that the site will be error-free, virus-free, or secure from unauthorized access. Users are responsible for implementing their own security measures (such as using updated antivirus software) when accessing the site. We shall not be liable for any direct or indirect loss or damage incurred by any user in connection with the use of, or inability to use, our site or its content. This includes, but is not limited to, any harm caused by viruses, distributed denial-of-service attacks, or other technologically harmful material that may infect your computer equipment or programs due to your use of our site or downloading of any material posted on it. Nothing in this clause limits any non-excludable warranty or right you may have under law; however, in such cases our responsibility will be limited to the fullest extent permitted.
Chapter 03
Registration and Payment
3.1. Registration Process Overview:
Registration for Dent-X Congress 2026 is conducted exclusively online via the Event Website’s registration portal. To register, a user must create an account (if not already existing), complete the appropriate Registration Form for their participant category (e.g., Student, Young Doctor, Doctor), and provide all required information truthfully and accurately. All fields marked as mandatory in the form (such as personal identification details, contact information, and eligibility documents) must be completed. Prior to final submission, the Applicant is responsible for reviewing the information entered to ensure it is correct and up-to-date. Submission of the Registration Form constitutes an offer by the Applicant to join the Event under the terms of this Contract; the acceptance of that offer (and formation of the registration Contract) occurs only upon confirmation of payment and issuance of a registration confirmation by the Organizers.
3.2. Eligibility Verification:
Certain participant categories require proof of status: for example, Student registrants must upload valid proof of their current enrollment in a Faculty of Dentistry (such as a student ID or enrollment certificate), and Young Doctor registrants must attest to or provide proof of their graduation date (to confirm it is within 5 years prior to the Event). The Organizers (through the designated Technical or Secretary Department) will verify the submitted documents and information. If any required proof is missing, illegible, or inadequate, the Organizers may contact the Applicant to request clarification or additional documentation. The Organizers reserve the right to reject or cancel a registration if the eligibility criteria are not met or if any provided information is found to be materially false or misleading. In such case, any fees already paid may be handled in accordance with the refund policy (subject to administrative fees) or, if willful fraud is detected, may be forfeited.
3.3. Corrections to Submitted Data:
If after submitting the Registration Form you realize that some information was entered incorrectly (for example, a misspelled name or an incorrect email address), it is your responsibility to inform the Organizers as soon as possible to have the data corrected. Data corrections can only be made upon the Participant’s written request (typically via email to the official Dent-X contact address or through the user’s account interface, if editing is enabled) and only before the registration period closes. The request should clearly identify the Applicant (full name and registered email) and specify the information to be corrected. The Organizers will use reasonable efforts to update the details, and you may receive an updated confirmation if necessary. However, please note that certain details (such as name, university, etc.) may be used for generating certificates and badges; inaccuracies not corrected before the printing or issuance of such items may not be rectifiable on-site. The Organizers are not responsible for any consequences of erroneous information input by the Applicant, such as certificates issued with incorrect names, unless the error was previously communicated and acknowledged for correction.
3.4. First-Come, First-Served and Capacity:
Dent-X Congress generally admits Participants on a first-come, first-served basis, subject to overall capacity constraints. Unlike some invite-based events, there is no competitive selection process for passive Participants; all individuals who complete the registration and payment while space remains available will be accepted. The Organizers will clearly announce the registration opening and, if applicable, any limits on the number of Participants in certain categories. In the unlikely event that the maximum capacity is reached, the Organizers reserve the right to close or suspend registrations for one or more categories. If an Applicant attempts to register after capacity is reached (or after the registration deadline has passed), the Organizers may refuse the registration and, if any payment was made, will refund it. The Organizers will notify on the Event Website or via official channels if registrations must be closed early due to reaching capacity.
3.5. Confirmation of Participation:
Upon successful submission of the registration form and full payment of the required fee, the Applicant’s registration will be processed. A confirmation email or notification will be sent to the registered email address once the payment is verified, thereby confirming the Applicant’s status as a Participant. This confirmation will serve as an acceptance of the Applicant’s offer to participate and the formation of the Contract under these Terms. Participants may be required to show a copy of this confirmation (digital or printed) when checking in at the Event venue. If you do not receive a confirmation within a reasonable time after completing payment, it is your responsibility to contact the Organizers to ensure your registration was received.
3.6. Payment Method:
The only accepted payment method for the Dent-X Congress Passes is online payment by credit or debit card through the authorized payment gateway integrated on the Event Website. The platform will guide you through entering your card details securely. No cash or on-site payments are accepted for the standard registration fees, and bank transfers or other methods will only be considered in exceptional cases (and only with prior written approval by the Organizers). The online payment system is provided by a third-party payment processor created by Banca Transilvania SA (BT iPay), on behalf of the Organizers. By choosing to pay online, you agree that your card details (card number, expiration date, CVV, etc.) will be processed by the payment provider. No card information is stored on the Organizers’ servers. You are responsible for using a valid card and having sufficient funds or credit limit to cover the fee. All transactions are secured via encryption. The Organizers do not charge any additional commission or service fee on top of the listed registration price; however, note that your card issuer or bank might apply standard international transaction fees if applicable (depending on your location and currency).
3.7. Currency and Taxes:
All registration fees are listed and charged in Romanian Lei (RON). Prices are gross amounts; any applicable VAT or local taxes are included in the price unless stated otherwise on the registration page. If you are paying with a card tied to a bank account in another currency, your bank will handle the currency conversion at its rate and may charge conversion fees. The Organizers are not responsible for any differences caused by exchange rates or bank fees. An electronic invoice or receipt can be provided upon request for the registration fee, which will include the Organizers’ details and tax identification.
3.8. Payment Confirmation and Invoice:
A payment is considered completed and the Participant’s spot is secured only when the Organizers (or the payment processor on our behalf) have successfully received the funds and a confirmation of payment is generated. Upon successful payment, you should see a confirmation page and receive an email confirmation. The date of this confirmation is the effective date of your registration. If the payment process is interrupted or fails (for example, due to card denial or technical error), the registration will not be finalized; you will need to re-initiate payment to complete registration. It is recommended to save or print the payment confirmation. Official invoices (for those who need them for institutional reimbursement, for instance) will be issued in accordance with Romanian fiscal regulations. If you require the invoice to be made out to a company or university, you must provide the necessary billing details either during registration or by contacting the Organizers promptly after payment.
3.9. Registration Waves and Deadlines:
The Organizers may implement multiple pricing waves for certain Pass categories to encourage early registration. Specifically, for the Student Pass and Young Doctor Pass categories, there are three sequential waves: Wave 1 (Early Registration), Wave 2 (Standard Registration), and Wave 3 (Late Registration), each with its own fee level. The start and end dates for each wave, as well as the fee applicable in that period, will be clearly published on the Event Website and/or the registration platform. To benefit from a lower wave price, the Participant’s payment must be completed before the wave is sold out. Merely filling the form without payment does not lock in the price. If payment is made after a wave has closed, the fee may be automatically adjusted to the next wave’s rate. Doctor Passes and VIP Student Passes may or may not be subject to multiple waves (if not explicitly advertised, assume their fee remains constant or only changes at the general deadline). The Organizers reserve the right to close registrations entirely after the last wave or earlier if capacity is reached. It is the Participant’s responsibility to be aware of these deadlines; no exceptions or extensions will generally be granted, except at the Organizers’ discretion in special circumstances.
3.10. Failure to Pay / Payment Issues:
If for any reason the fee is not received in full (for example, if the payment is disputed or charged back by the cardholder’s bank, or if technical issues prevent processing), the Organizers may consider the registration incomplete. In such cases, the Applicant will be notified and required to resolve the payment issue by a specified deadline. If the issue is not resolved timely, the Organizers reserve the right to cancel the pending registration. Furthermore, any intentional fraudulent payment activities (such as using a stolen card) will result in cancellation of the registration and may be reported to the authorities.
3.11. Withdrawal by Participant:
If a registered Participant can no longer attend the Event, they should inform the Organizers as soon as possible by email or through the provided cancellation function (if available on the platform). The date of receipt of the withdrawal notice will determine eligibility for any refund according to the Refund Policy. Please note that Dent-X Congress may have a specific Refund Policy detailing what portion of the fee (if any) is refundable based on how far in advance of the Event the cancellation occurs. In general, registration fees are non-refundable, except as expressly provided in the Refund Policy or in these Terms (e.g., in cases of event cancellation or force majeure under Clause 10.3). Transfers of a registration (substituting one participant for another) may be permitted under certain conditions with prior Organizer approval; however, the substitute must meet the same eligibility criteria. The Organizers have no obligation to accept any substitute if not formally agreed.
3.12. Dismissal of Participants:
If a Participant is found to be in serious breach of these Terms and Conditions or other policies (for example, violating the Code of Conduct in Chapter 8) either prior to or during the Event, the Organizers reserve the right to revoke the Participant’s Congress Pass and deny them access to the Event (and any related platforms or activities). In such a case of disciplinary removal, the Participant shall not be entitled to any refund of the registration fee or other costs. This remedy is in addition to any other remedies available to the Organizers (such as banning the individual from future events, or seeking damages if appropriate). Participants are expected to carefully read Chapters 8 and 9 regarding their obligations and the limitations of liability.
Chapter 04
Congress Passes and Participant Categories
4.1. Participant Categories:
Dent-X Congress 2026 offers several categories of participation, each with its own Congress Pass type and associated benefits. The categories and eligibility criteria are as follows:
- Student Pass: Intended for undergraduate students currently enrolled in an accredited Faculty of Dentistry (years I-VI of study) or in a related undergraduate dental program. To register as a Student, one must provide proof of student status (e.g., a valid student ID or a certificate of enrollment for the 2025-2026 academic year). The Student Pass provides full access to all standard congress activities (scientific sessions, exhibition, etc.), as detailed in Clause 4.2, and is priced affordably for students. Student Pass holders are eligible to register separately for workshops and masterclasses (additional fees may apply) and to participate in the Lecture Competition (if their abstract is accepted as Active Participants). Students enjoy the core social events such as the Opening Party. (Note: in the 6th Edition, an undergraduate student has the option to upgrade to a VIP Student Pass for additional perks – see 4.1.2 – but if they choose not to, they fall under this standard Student Pass category.)
- VIP Student Pass: An upgraded pass available exclusively to students who meet the criteria for the Student Pass. The VIP Student Pass includes all the benefits of the standard Student Pass, plus premium advantages aimed at enhancing the congress experience. VIP Student Pass holders gain access to certain exclusive features, notably: (a) Closing Gala Access – admission to the prestigious closing gala event at the end of the congress (this gala is not open to others without a VIP Pass or special invitation); (b) Early Workshop Registration – the privilege to select and book workshops and masterclasses one day earlier than the general workshop registration opening for other participants (increasing the chance to secure a spot in high-demand sessions); and (c) Complimentary Workshop – one free admission to a workshop or masterclass of choice (up to Advanced level) without additional fee (MasterClass-level workshops are excluded from this free allotment). VIP Student participants may also receive an enhanced welcome package or additional congress merchandise as compared to standard Student Pass holders. The VIP Student Pass is offered in limited quantity and is sold on a first-come, first-served basis. It is subject to the same student verification requirements as the standard Student Pass. If a student opts for a VIP Pass, they should register through the Student category and then select the VIP option during the registration process. Pricing for the VIP Student Pass is higher than the standard Student Pass and may or may not follow the same Early/Standard/Late wave structure (the structure will be indicated on the registration page).
- Young Doctor Pass: Designed for recent graduates in dentistry—specifically, dental practitioners who obtained their DMD/DDS (or equivalent degree) within the last five (5) years prior to the Event. (For the 6th Edition in 2026, this generally means graduates of 2021 or later qualify as “Young Doctors.”) Young Doctor participants must provide appropriate evidence of their graduation year or current professional status (such as a diploma, medical license, or an official document indicating the year of graduation). The Young Doctor Pass grants the same level of access and benefits as the Student Pass; in other words, the Young Doctor Pass mirrors the facilities of the Student Pass in terms of what is included: full congress access, ability to attend all lectures and panels, eligibility to register (with separate fees) for workshops and masterclasses, invitation to the Opening Party, coffee breaks, etc. The main distinction is the eligibility (recent graduates rather than current students) and the price point. Young Doctor Pass fees are typically slightly higher than Student Pass fees, but they also follow the Early/Standard/Late wave pricing model for this category. Young Doctors do not have a VIP tier available; their pass is a single-tier category. (Young doctors seeking a more exclusive experience may register as regular Young Doctors and separately inquire if any VIP social event tickets are available, but as of 6th Edition there is no dedicated VIP Young Doctor Pass.) Young Doctor participants are encouraged to attend and benefit from the same academic content and networking opportunities as student participants.
- Doctor Pass: Tailored for established dental professionals (graduate dentists or specialists) who have been in practice for more than five years, as well as professors, researchers, or other dental industry professionals who do not fall into the student or young doctor categories. Doctor Pass holders have full access to all congress scientific sessions, the exhibition area, and general amenities. They are also welcome to register for workshops/masterclasses appropriate to their interest (subject to availability and additional fees where applicable). While the core congress experience is the same, the Doctor Pass may be priced higher than the Student or Young Doctor Pass, reflecting the professional status and potentially additional amenities. Doctor Passes typically do not have multi-wave pricing (often a flat rate throughout the registration period, unless a discount is offered for early registration) – any such details will be communicated on the registration platform. The Doctor Pass includes access to the Opening Party and coffee breaks. It does not include the Closing Gala (which in 2026 is VIP-exclusive) by default, and there is currently no VIP version of the Doctor Pass. Doctors who wish to attend any exclusive events would need a separate invitation or arrangement. The Doctor Pass category exists to facilitate the attendance of experienced professionals and faculty, fostering an environment of mentorship and high-level networking at the congress.
4.2. Pass Inclusions and Benefits:
Every Congress Pass, regardless of type, guarantees certain base benefits to the Participant during the Event. The standard inclusions for all Pass holders (Student, Young Doctor, Doctor, and VIP where applicable) are:
- Academic Program Access: Full access to all official scientific sessions of the congress. This includes entry to all keynote lectures, thematic panel discussions (the eight thematic panels of the 6th Edition), roundtables (the four planned roundtable sessions), and any general audience conferences scheduled. Pass holders may freely attend any session on the agenda (except where a session is explicitly noted as closed or invite-only, if any). Seating at sessions is generally first-come, first-served; holding a Pass does not guarantee a seat in an overly full room, so punctuality is advised.
- Lecture Competition Attendance: The ability to attend the Lecture Competition sessions as part of the audience. (Active Participants, who present in the competition, are covered separately in Chapter 7.) Passive Participants get to watch the presentations by Active Participants on March 12, 2026, and learn from their research. All Pass holders can also participate in the voting or Q&A, if such interaction is opened to the audience, as per rules announced by the Scientific Committee.
- Exhibition and Sponsor Area: Access to the exhibition hall or sponsors’ booths (if an expo area is part of the Event) where dental companies, organizations, or partner institutions might present their products, services, or research. Participants can interact with sponsors, view demonstrations, and receive promotional materials during exhibition hours.
- Social Events: Admission to the Opening Party, which is the inaugural social event welcoming participants. This typically occurs on the first evening of the congress (or the evening of the first full day) and includes entertainment and networking opportunities. (Note: The Closing Gala in this edition is not included for standard Student, Young Doctor, or Doctor Passes; it is restricted to VIP Student Pass holders and invited guests only. Standard Pass holders will have other evening social mixers during the week that they can attend, which will be announced as part of the Social Program.)
- Catering – Coffee Breaks: Complimentary refreshments during scheduled coffee breaks on congress days. Generally, for each full day of academic sessions, Participants are provided with a morning welcome coffee/tea service and at least two coffee breaks (mid-morning and mid-afternoon) with coffee, tea, soft drinks, and light snacks or finger foods. Notably, Dent-X Congress traditionally offers unlimited prosecco during certain coffee breaks or at designated stations as a special touch; all Pass holders of legal drinking age may partake responsibly in this offering. (Participants are reminded to consume alcohol in moderation, as per Clause 8.3 on conduct.)
- Materials and Kit: A Welcome Kit for each participant, to be collected at on-site check-in. The standard welcome kit typically includes items such as an official congress badge, a lanyard, the printed congress program or abstract booklet, a notepad/pen, promotional items from sponsors, and other congress-branded memorabilia. All Pass holders receive a kit, with VIP Student Pass holders possibly receiving an upgraded or additional set of items as part of their premium experience (e.g., perhaps extra gifts or a special edition bag). Additionally, Participants are eligible to participate in any official congress giveaways or raffles (if the Organizers run prize drawings or contests, often indicated by “Giveaway Registration” in the package details). Participation in giveaways might require submitting a form or dropping a ticket, but having a Pass makes one eligible.
- Workshops & Masterclasses Access: The right to sign up for hands-on workshops and masterclass sessions offered during the congress, appropriate to one’s skill level or interest. Note that workshops/masterclasses often require separate registration because they have limited seats. Some may also require payment of an additional fee (especially Advanced or MasterClass level sessions, or those with expensive materials). All Pass holders can request workshop slots when workshop registration opens. VIP Student Pass holders get the advantage of early access to this signup (as per Clause 4.1.2), meaning they can choose workshops 24 hours before others. Furthermore, a VIP Student Pass includes one complimentary workshop entry (covering the fee for one Entry, Progressive, or Advanced workshop). For all other participants (and for any additional workshops a VIP student wants beyond their one free), workshop fees (if any) must be paid separately. The exact process and rules for workshop registration are elaborated in Chapter 6, but owning a Congress Pass is a prerequisite to enroll in any workshop/masterclass.
In summary, all Passes grant the core congress experience (academic content, networking events, basic refreshments, and congress materials) while certain passes (VIP, etc.) confer additional perks. The Organizers will publish a detailed comparison of Pass benefits in promotional materials or on the registration site so participants know what to expect. If any benefit is modified (for instance, a planned social event is changed), the Organizers will inform participants accordingly, but such modifications (provided the core offerings are substantially delivered) shall not constitute a breach of contract (see also Clause 5.3 regarding program changes).
4.3. Pricing and Fee Details:
The cost of each Congress Pass type is set by the Organizers and made public on the registration page. Student Pass and Young Doctor Pass fees follow the tiered wave system as described in 3.9, encouraging early commitment. The VIP Student Pass fee is higher, reflecting the added benefits and exclusivity; it may remain constant or also increase closer to the event, as determined by the Organizers. Doctor Pass fees are generally the highest and may be flat rate. All fees are calculated to support the non-profit educational aims of the congress and to cover amenities offered. Should a participant require an official letter of confirmation (for instance, to secure funding from their institution or a travel visa), they may request it from the Organizers after registration; issuance of such letters does not imply any additional services beyond what the Pass includes, and participants remain responsible for their own travel and accommodation arrangements and costs (the Congress Pass does not include accommodation or travel expenses).
4.4. Additional Services and Add-Ons:
In the 6th Edition of Dent-X Congress, the Organizers have streamlined the offerings such that most components are bundled within the Pass types. There are no optional “add-on” purchases like gala tickets or extra packages offered through the registration system, aside from the workshop fees which are handled separately. In previous editions, a Closing Gala Add-On was available for purchase by any interested participant to attend the gala dinner; however, this is no longer applicable – the Closing Gala is now a closed event for VIP Pass holders and invited VIP guests only. Participants with standard passes do not have an add-on option for gala access. Likewise, any other special activities or tours (if offered) would be communicated independently and are not part of the standard registration flow.
If the Organizers introduce any minor add-ons (for example, merchandise like congress T-shirts for sale, or a city tour post-congress), these would be entirely optional and would not affect the Terms of this Contract except that any purchase of such add-ons should be considered separate agreements. The absence of mention of such items here indicates that none are formally planned as part of the registration contract. Participants should rely on official communications for any extra offerings outside the Pass benefits.
4.5. Transfer or Upgrade of Pass:
Passes are generally non-transferable, meaning the person named in the registration is the one entitled to use the Pass. In exceptional cases, if a registered Participant is unable to attend, the Organizers may permit a one-time transfer of the registration to another person in the same category, but this requires written approval and completion of any necessary documentation (the substitute person must accept these Terms and meet the eligibility criteria for that Pass). An administrative fee might apply for transfers. Upgrading a Pass (for example, from Student to VIP Student) after initial purchase is only possible if VIP slots are still available and typically only within the same registration wave or before a certain date. Downgrades (e.g., VIP to standard) are generally not allowed once purchased. To request an upgrade, the participant would pay the difference in fee (if approved by Organizers). All such changes must be handled through the Organizers’ registration team; self-arranged sales or exchanges of Passes are not recognized and may result in cancellation without refund.
4.6. Loss of Badges or Materials:
Participants will receive an official badge or identification credential when checking in at the Event. This badge is personal and must be worn visibly during congress activities for security and access control. If a Participant loses their badge, they should report to the registration desk immediately. A duplicate badge may be issued at the Organizers’ discretion (and possibly for a fee to cover costs). The badge remains property of the Organizers until the end of the Event. Similarly, any equipment lent to a Participant (e.g., simultaneous translation headsets or workshop instruments) must be returned in good condition; unreturned or damaged items may be charged to the Participant.
Chapter 05
Scientific Program and Schedule
5.1. Content of the Scientific Program:
The Dent-X Congress 6th Edition is committed to delivering a rich and diverse scientific program under the theme “Architects of Future Smiles.” The program will feature eight (8) thematic panels (each focused on a different cutting-edge topic in dentistry or oral health) and each panel will include one internationally renowned keynote speaker and a selection of approximately 2 to 4 additional speakers (professors, clinicians, or researchers) delivering lectures or case presentations within that theme. Additionally, there will be four (4) roundtable discussions, which are interactive forums typically involving multiple experts and a moderator, aimed at fostering debate on emerging issues or controversies in dentistry. Beyond panels and roundtables, the program will include standalone keynote lectures, short communications, and the Lecture Competition for students and young doctors (see Chapter 7 for Active Participant details). The official schedule, including dates and times for each session, speakers’ names and lecture titles, will be published on the Event Website and in the congress program booklet prior to the Event. Participants are encouraged to consult the schedule and plan their attendance in advance, as some sessions may run in parallel.
5.2. Changes to Schedule or Content:
While the Organizers endeavor to adhere to the announced schedule and lineup of speakers, all aspects of the Scientific Program are subject to change. This includes changes in timings, sequence of sessions, substitution of speakers, modification of lecture topics, or cancellation of specific sessions. Changes may be necessitated by circumstances such as speaker travel difficulties, illness, technical issues, or improvements to program flow. The Organizers reserve the right to make such adjustments at any time, before or during the Event, as needed to ensure a high-quality program or for reasons of practicality. In the event of a significant change (e.g., a keynote speaker cancellation or a major shift in schedule), the Organizers will attempt to inform Participants through appropriate channels (website updates, email notifications, or announcements on-site) as soon as feasible. No warranty or guarantee is made by the Organizers that any individual session will take place exactly as advertised, and Participants acknowledge that substitutions and minor alterations are a normal part of congress management. Importantly, no refunds (full or partial) will be issued solely due to changes in the program content or schedule, as long as the overall Event still occurs, since the registration fees are for the congress experience as a whole and not for any particular speaker or sub-event. Participants understand that the value of the congress is in the collective offering, and agree that modifications within reasonable bounds do not constitute failure of performance by the Organizers.
5.3. Session Access and Seating:
Entry to each session (panel, lecture, roundtable, etc.) is generally open to all Participants holding a valid Congress Pass, until the venue room reaches its safety or capacity limit. The Organizers and venue staff will manage flow in and out of rooms to prevent overcrowding. It is advised that Participants arrive early for sessions that are likely to be popular. Doors may be closed if a room fills up, and late entry might be restricted to avoid disruption. The Organizers are not liable if a Participant cannot attend a specific talk because the room was full; alternative viewing areas or recordings will be provided only at our discretion (and if technology on-site allows, e.g., overflow projection in another room). Some sessions like MasterClass workshops or intimate roundtables might have pre-enrollment or invitations; such restrictions will be clearly indicated in the program. Except for those special cases, your badge is your access pass to all open sessions. Participants must wear their congress badge at all times on premises, and security personnel may deny entry to anyone without proper identification.
5.4. Language and Translation:
The official language of Dent-X Congress is English for all main scientific sessions, unless otherwise noted. There may be certain sessions or workshops delivered in Romanian (if they are specifically targeted to local participants), but by default the panels and keynotes are in English to accommodate the international audience. If translation services are provided (such as simultaneous interpretation into another language), this will be announced for the relevant sessions. Participants who need interpretation equipment must sign it out and return it as instructed. The Organizers are not responsible for any participant’s inability to understand a session’s language, but we strive to make slides and abstracts available in English. Questions from the audience during Q&A should be posed in English when sessions are in English to ensure everyone (including panelists) can follow.
5.5. Conference Materials and Publications:
Participants will have access to conference materials, such as the abstract compendium or digital proceedings, if prepared. These may be provided electronically (via a website or an app) or in print as part of the welcome kit. All such materials are for personal use of Participants. They may contain intellectual property (research findings, unpublished data) belonging to speakers or authors; Participants should not reproduce or distribute these materials outside the context of personal use without permission from the authors or Organizers. If a Participant presents at the congress (Active Participant), their abstract and biography may be published in these materials. The Organizers may also publish a post-event report or compendium of highlights; by participating, you consent that your name and image might appear in such a context if captured in event photography (see Clause 8.2 regarding media).
5.6. Speaker’s and Participant’s Conduct in Sessions:
All speakers, moderators, and participants in the audience are expected to maintain professional decorum during sessions. This means respecting time limits, refraining from disruptive behavior, and treating everyone (especially during Q&A or discussions) with courtesy and respect (also see Chapter 8, Code of Conduct). The session chairs have authority to enforce these standards in their sessions, including the right to cut off microphones or ask a disruptive individual to leave the room if necessary. Participants should silence mobile phones and alarms while in sessions. Recording of sessions (audio or video) by Participants is prohibited unless explicitly allowed by the Organizers or speaker. The Organizers may record certain sessions for archival or educational purposes; if so, an announcement will be made, and by attending you tacitly consent to possibly being recorded as part of the audience (with the understanding the focus is on the speakers).
5.7. Innovations and Competitions:
The Scientific Program may include special segments such as live demonstrations, poster presentations (if applicable), or competitions (other than the Lecture Competition, perhaps contests by sponsors or interactive quizzes). Any rules or terms specific to those activities will be provided separately, but participants who choose to join those are expected to abide by those rules in addition to these general Terms. For instance, if a sponsor runs a case presentation contest with separate terms, those terms will co-exist with these, and in case of conflict, the specific contest rules will govern that contest. The Organizers facilitate but do not take responsibility for sponsor-led activities, though we will endeavor to ensure they are conducted fairly.
5.8. Academic Integrity:
Dent-X Congress promotes academic and scientific integrity. Plagiarism, data fabrication, or any form of research misconduct is strictly forbidden in any presentations or materials. If it is discovered that an Active Participant or speaker has engaged in such misconduct, the Organizers reserve the right to take appropriate action, including retracting abstracts from the compendium, terminating the presentation, or informing the individual’s institution or professional body, as deemed appropriate. All Participants are also expected to respect confidentiality requests; for example, if a speaker shares preliminary data and asks the audience not to disseminate it, participants should honor that request.
5.9. Feedback:
The Organizers may solicit feedback from Participants (via surveys or feedback forms) about the Scientific Program and sessions. Providing feedback is optional but encouraged, as it helps improve future editions. By providing feedback, you grant the Organizers the right to use anonymized or aggregated comments in reports or marketing. If you have a complaint or serious concern about any scientific content (e.g., a biased or inappropriate talk), you should bring it to the attention of the Organizers promptly so we can address it if needed (for instance, by reviewing the content or discussing with the speaker).
Chapter 06
Workshops and Masterclasses
6.1. Workshop Overview and Levels:
In addition to the general Scientific Program, Dent-X Congress 2026 offers a series of hands-on workshops and masterclass sessions designed to provide practical learning opportunities. Workshops are categorized into four skill/experience levels: Entry, Progressive, Advanced, and MasterClass.
- Entry-level workshops are introductory sessions suitable for students or practitioners with little to no prior experience in the specific topic; they focus on fundamental techniques or basic knowledge.
- Progressive-level workshops are intermediate, meant to build upon foundational skills and introduce more complex concepts – these are ideal for participants who have some background or have possibly attended Entry sessions previously.
- Advanced-level workshops are high-level sessions intended for participants with significant prior knowledge or clinical experience in the topic; they involve complex techniques, and participants are generally expected to already be proficient in the fundamentals.
- MasterClass sessions are elite workshops typically led by a top expert or master in the field, often focusing on cutting-edge or specialized techniques. MasterClasses may have very limited seats and may even require that participants meet certain prerequisites (such as having attended an Advanced workshop or having specific clinical experience) to fully benefit.
Each workshop/masterclass will be labeled with its level in the program and promotional materials, and a brief description will outline the content and any prerequisites or required materials.
6.2. Workshop Registration Process:
Workshops and Masterclasses require separate pre-registration because of limited capacity. After registering for a Congress Pass, Participants will be given the opportunity to enroll in workshops via the Event Website’s workshop registration module. The opening date and time of workshop registration will be announced in advance (likely a specific date when all participants can log in and choose workshops). For the 6th Edition, VIP Student Pass holders have a 24-hour early access window to select workshops before general workshop registration opens to all other Participants (as noted in Clause 4.1.2). This means VIP students can log in one day early to secure spots. Once general registration for workshops opens, all remaining Participants (Student Pass, Young Doctor Pass, Doctor Pass) can select from the available slots on a first-come, first-served basis. The number of workshops one person can attend may be limited (for example, if schedules overlap or if the Organizers impose a limit like maximum 1 MasterClass per person to allow broader participation). These details will be clarified on the workshop sign-up page.
6.3. Workshop Fees and Payment:
All fees for workshops, will be clearly listed during the selection process. VIP Student Pass holders are entitled to have the fee waived for one workshop of Entry, Progressive, or Advanced level (their one free workshop included – they will receive a code or the system will automatically apply the free benefit when they select their first eligible workshop). If a VIP holder selects more workshops beyond the one free, fees will apply for those additional ones. MasterClass workshops are excluded from the free workshop benefit – VIPs must pay for MasterClass sessions like any other participant.
Payment for workshops is usually done through the same online system (likely added to the Participant’s cart in the registration system or via a payment link) and must be completed to confirm the workshop spot. Unpaid workshop selections might be released after a short holding period.
6.4. Cancellation or Changes in Workshops:
Due to the limited nature of workshops, Participants are advised to select carefully. If you secure a spot in a workshop and later decide not to attend, you should cancel your spot as soon as possible to allow waitlisted colleagues to join. The Organizers may set a deadline (for example, a week before the congress) for free cancellation of workshop participation. Cancelling after that deadline or failing to show up may incur a penalty or forfeiture of the workshop fee. In particular, no refund of a workshop fee will be given for no-shows or late cancellations unless due to exceptional circumstances (to be evaluated by the Organizers). If a workshop has a waitlist and your spot can be filled by someone else, we will consider refunds on a case-by-case basis, possibly minus an administrative fee.
If the Organizers find it necessary to cancel a workshop (for example, if the instructor is unable to attend or not enough participants registered), all affected participants will be notified as soon as possible. If a fee was paid for a canceled workshop, the Participant will receive a full refund of that workshop fee (or the fee can be transferred toward another available workshop if the participant so chooses and space allows). The Organizers will not be responsible for any other costs related to a workshop cancellation (e.g., if you traveled early specifically for it); workshop schedules are typically within the main congress dates.
6.5. Workshop Attendance and Conduct:
Participants must arrive on time for their scheduled workshops. Many workshops will not allow late entry due to the intensive hands-on nature and safety briefings at the start. If a Participant is late, the instructor or staff may refuse entry to avoid disrupting others or repeating instructions. Participants are expected to follow all instructions given by the workshop instructor(s) and facilitators, particularly with regard to safety (for example, using protective eyewear or gloves if provided, handling instruments carefully, etc.). In some workshops, Participants might be required to sign a liability waiver especially if there are any risks (e.g., using sharp instruments, working on phantom heads, etc.).
During workshops, the same standards of professional behavior apply as elsewhere in the congress. Participants should be respectful to instructors and fellow attendees, give everyone a chance to participate, and refrain from any behavior that could cause harm or discomfort to others (see also Chapter 8).
6.6. Equipment and Materials in Workshops:
The Organizers and workshop sponsors will provide the necessary materials and equipment for each workshop (for example, models, dental materials, instruments, etc.), unless participants are instructed in advance to bring specific items. If participants are expected to bring anything (like loupes, specific tools, or a laptop for digital workshops), this will be communicated beforehand in the workshop description. All provided equipment and unused materials remain the property of the Organizers or the sponsoring company, unless explicitly given to participants as part of the workshop (sometimes certain materials or tools might be gifted; if not stated, assume they must be returned). Participants must handle all provided tools and equipment with care. Any willful damage or removal of property may result in the participant being charged for the item and could constitute misconduct under these Terms.
6.7. Eligibility and Prerequisites:
Some advanced or masterclass workshops might list recommended prerequisites (for example, “must have basic knowledge of implantology” or “for 5th-6th year students and graduates only”). By signing up, you are declaring you meet those recommendations. The Organizers will generally not police each individual’s background; however, the instructor has the right at the start of a workshop to ask if everyone meets the expected level. If it becomes clear a participant lacks the necessary background (and this could affect safety or the experience of others), the instructor and organizers may discreetly speak with that participant. In extreme cases, they might be asked to observe rather than perform certain tasks, for their own safety. We trust participants to self-select appropriately to ensure they and their peers get the most out of these sessions.
6.8. Certificates of Attendance for Workshops:
Many workshops and masterclasses provide a certificate of completion or attendance separate from the general congress participation certificate. These are typically signed by the instructor or organizing committee and state the topic and date of the workshop. To receive such a certificate, a Participant must be present for the entire duration of the workshop and sign any attendance sheet if required. The certificates will either be handed out at the end of the workshop or made available for pickup (or emailed) afterward. These certificates can be useful for claiming continuing education credits (if applicable; Dent-X will clarify if any C.E. credits are recognized for sessions) or simply as a record of skills learned. The Organizers are responsible for preparing these and will do their best to have them ready promptly.
6.9. Limitations of Liability for Workshops:
While the Organizers ensure that workshops are conducted by qualified professionals and that safety measures are in place, Participants acknowledge that hands-on activities carry inherent risks (for instance, minor injuries from instruments, allergic reactions to materials, etc.). By electing to participate in a workshop, the Participant assumes these risks. The Organizers and instructors will not be held liable for injuries or accidents that occur due to a participant’s own negligence or failure to follow instructions. We do, however, carry basic first aid support on-site for any incidents and will assist in obtaining medical care if needed. Any incidents should be reported immediately to the workshop staff. Refer also to the general liability limitations in Chapter 9, which apply here as well.
6.10. Workshop Feedback and Improvement:
At the conclusion of each workshop, participants may be asked to complete a quick feedback form to evaluate the content and teaching. This is optional but highly appreciated, as it helps improve future workshops. In some cases, completion of a feedback form may be required to download a digital certificate. The Organizers value honest and constructive feedback. If you felt a workshop did not meet its described objectives or had any issues, you are encouraged to note that in feedback or directly inform the Organizers’ workshop coordinator. Conversely, exceptional experiences or instructors can be acknowledged, which helps us invite the best contributors again.
Chapter 07
Active Participants and Abstracts
7.1. Active Participant Status:
An Active Participant is a congress attendee who contributes to the Scientific Program by presenting original research or a clinical case in the Lecture Competition or another designated oral presentation session of Dent-X Congress 2026. This category primarily comprises students and young graduates who have submitted an abstract and have been selected by the Scientific Committee to present. Active Participants are vital to the congress’s mission of encouraging young professionals to engage in research and public speaking. Being an Active Participant is a privilege; it offers the opportunity to showcase one’s work to an international audience and to compete for any awards or recognition the congress may offer for best presentations.
7.2. Abstract Submission:
To qualify as an Active Participant, an interested individual must submit an abstract summarizing the research or clinical case they intend to present. The call for abstracts (and the rules governing submission) is announced by the Organizers through the Event Website and other communication channels well in advance of the congress (e.g., the call might open several months prior with a clear deadline). Abstracts must be submitted in the required format – usually via an online submission form – and by the stated deadline (no late submissions are accepted unless a specific extension is officially announced). Each person may be allowed to submit only one abstract as presenting author (this limitation ensures broad participation – if multiple submissions per author are allowed or not will be indicated in the call). The content of the abstract must be the original work of the submitter (and their co-authors, if any), and it should not have been presented at previous major conferences in the same form. Plagiarism or data fabrication is strictly prohibited and will result in immediate disqualification (and potentially barring the individual from congress activities).
7.3. Evaluation and Selection:
All submitted abstracts undergo a review process by the Scientific Committee or appointed reviewers (which may include faculty mentors or experts in various dental fields). The review criteria generally include relevance to dentistry, scientific merit, originality, clarity of objectives and results, and adherence to submission guidelines. The number of slots available for Active Participant presentations (Lecture Competition) is limited – for example, if the competition is a single-day session, there may be a fixed number of presentations that can be accommodated on March 12, 2026. The highest-rated submissions will be accepted until the program is filled. Some additional submissions might be accepted as poster presentations or backups if relevant (if a poster session is organized, though Dent-X historically focuses on oral competition). The Organizers will notify all Applicants of the outcome of their submission via email by a specified notification date. Notifications will typically state one of: Accepted for oral presentation; Accepted for poster (if applicable); or Not Accepted. The Organizers’ decisions on abstract selection are final and not subject to appeal, given the subjective element of scientific review. However, constructive feedback may be provided to submitters when possible.
7.4. Confirmation and Registration of Active Participants:
If an Applicant’s abstract is accepted, they will receive an acceptance email containing instructions for confirming their participation as an Active Participant. Being accepted as a presenter effectively secures one’s place at the congress, but the individual still needs to complete the standard registration process (if they haven’t already) to provide personal details and so that a participant account exists. Active Participants are not required to purchase a Congress Pass separately, because their accepted status includes congress attendance – in practical terms, the Organizers either waive the registration fee or treat the Active Participant’s fee as covered (often the case for student competitions to encourage participation). The acceptance communication will clarify if any registration fee applies; for the 6th Edition, generally, Active Participants will be granted a Student Pass (or equivalent) at no cost or at a heavily discounted rate. They may be asked to register using a special code or method to waive the fee. It is essential that the Active Participant follow any instructions to confirm attendance (such as filling a confirmation form or reconfirming by email) by the stated deadline, otherwise their slot may be offered to another applicant.
7.5. Presentation Requirements:
Active Participants whose abstracts are accepted must prepare a presentation for the congress. The standard format is a PowerPoint or similar slide presentation to be delivered orally in English. The Organizers will provide specifics such as the allowed presentation duration (for example, a 10-minute presentation followed by 5 minutes of Q&A, although exact timing will be confirmed). Presenters should adhere strictly to the time limit and practice their talk to ensure it fits. They will likely be required to send their presentation file to the Organizers a few days prior to the event (for technical compatibility checks and to preload on the venue equipment). Guidelines on slide format (e.g., aspect ratio, recommended font sizes), number of slides, and whether or not to include certain disclosure or introduction slides will be provided by the Scientific Committee.
If the presenter has any special needs for their presentation (such as playing a video, requiring audio, or a live demo), they must inform the Organizers well in advance so that the technical team can attempt to accommodate it. The use of videos or animations in slides should comply with the time restrictions and should be tested beforehand.
Presenters are expected to speak clearly in English; if they are not fully comfortable, they may use notes, but reading directly from a script is discouraged by the competition judges. It’s often advised that Active Participants get guidance from a faculty mentor at their university in preparing the presentation.
7.6. Active Participant Conduct and Responsibilities:
Active Participants, as with all Participants, are bound by the Code of Conduct (Chapter 8) throughout the event. Additionally, they bear the responsibility of upholding scientific integrity in their presentations. They must ensure that their work is truthful, their analysis is their own, and that they credit any sources or collaborators (including co-authors) appropriately. If a research project was conducted with a team, the presenting Active Participant should have permission from their team or supervisor to present the work. By presenting at Dent-X, the Active Participant confirms that they have the rights to present all the content (e.g., no confidential patient data is revealed without consent, no proprietary corporate data is included without permission, etc.).
Active Participants must attend the rehearsal or briefing session if the Organizers schedule one (sometimes, on the evening before or morning of the competition, the Scientific Committee may gather all presenters to go over the order, stage procedure, how Q&A will work, etc.). Attendance at this briefing may be mandatory; failing to attend the rehearsal without a valid reason could result in disqualification.
On the day of their presentation (March 12, 2026, for the Lecture Competition), Active Participants should be present in the session room well in advance (as instructed, likely at least 30 minutes before session start) and check in with the session moderator or technician. They should have a backup of their presentation on a USB drive or accessible online, even if it was submitted ahead of time, in case of technical issues.
7.7. Competition Jury and Evaluation:
The Lecture Competition will typically have a jury or panel of judges (composed of experienced professors, clinicians, and/or industry experts) who will evaluate each Active Participant’s presentation. The evaluation criteria are usually communicated in advance, and may include: scientific quality of the work, novelty/originality, clarity of presentation, understanding of the topic, ability to answer questions, and overall impact. The scoring may be quantitative on a rubric or qualitative. In addition, sometimes there is an element of audience voting for a “People’s Choice” award – if so, it will be explained at the event. Active Participants should be prepared to answer questions from both the jury and the audience after their talk. Judges’ questions can range from requests for clarification to probing the significance or limitations of the work. Participants are expected to respond honestly and to admit if they don’t know an answer, rather than guessing inaccurately.
7.8. Awards and Recognition:
Dent-X Congress often honors the top Active Participant presentations with awards. These might be announced at the closing ceremony or a dedicated awards ceremony. Awards could include certificates of excellence, trophies, dental products/equipment sponsored by companies, monetary scholarships, or opportunities to publish in a journal or present at another conference. The exact awards for the 6th Edition will be announced by the Organizers. All Active Participants will receive a certificate of participation acknowledging their contribution as a speaker at Dent-X 2026, in addition to the general participation certificate. Winners or top finalists will receive additional certificates or prizes as applicable. The outcome of the competition (1st place, 2nd place, etc.) is decided by the judges (and possibly audience vote for a special category), and all Participants agree to respect the judges’ decisions as fair and final. Any form of attempting to unduly influence judges or the voting process is strictly forbidden and would result in immediate disqualification and potential further action by the Organizers.
7.9. Publication of Abstracts and Use of Material:
By submitting an abstract and becoming an Active Participant, you grant the Organizers the right to publish your abstract in the congress materials (such as the abstract book or proceedings, whether in print or electronic form). You also agree that portions of your presentation (such as summary, title, your name and affiliation, and possibly a photo of you presenting) may be used by Dent-X in promotional materials or post-event summaries. The Organizers, however, do not claim ownership of your research; you and your co-authors retain the rights to your work for publication in journals or elsewhere. If your work is not yet published, presenting it at Dent-X may in some fields be considered a form of prior publication; it is your responsibility to ensure that presenting does not conflict with future publication plans (most journals are fine with conference presentations, but it’s wise to check). If needed, you can mark specific sensitive slides as “Do Not Distribute” and the Organizers will ensure they are not shared publicly.
7.10. Failure to Present:
If an Active Participant, after confirming attendance, finds that they cannot attend or present (due to unforeseen serious circumstances like illness or visa denial), they must notify the Organizers immediately. In some cases, a substitute presenter (such as a co-author) may be allowed to present the work in their place, with approval of the Scientific Committee, provided the substitute is available and able to travel. If an Active Participant simply fails to show up at their scheduled presentation time without any prior notice, this is a serious breach of commitment. The Organizers reserve the right in such a case to bar that individual from abstract submission in the next edition or take other measures as appropriate. Additionally, any Active Participant who received complimentary registration but then no-shows may be invoiced for the registration fee (since their spot and benefits were reserved). We understand emergencies happen, so we encourage communication – if you inform us, we will handle it sympathetically.
7.11. Active Participant Integration with Congress:
Aside from their presentation duties, Active Participants are full congress participants and are encouraged to take part in all other aspects of the event (panels, workshops, social activities). Being an Active Participant often comes with networking opportunities, such as special meet-and-greet with speakers or invitations to certain functions (the Organizers will inform if any such perks are arranged, for example sometimes a breakfast with judges or a mentoring session). We encourage Active Participants to use the congress as a chance to learn and connect, not only compete. Senior attendees and judges usually appreciate enthusiastic young colleagues who engage in discussions throughout the congress – it’s part of the Dent-X spirit to bridge generations of dental professionals.
7.12. Travel and Accommodation for Active Participants:
Unless explicitly stated by the Organizers, Active Participants are responsible for their own travel and accommodation arrangements and expenses. Dent-X Congress, in general, does not cover travel grants, though sometimes sponsors or universities might support their students. If any support is provided (for example, a discounted hotel rate or organized lodging in student housing), that will be communicated. Visa invitation letters can be issued to Active Participants as needed, to assist in obtaining travel visas (see Clause 10.4 regarding visas). Active Participants should make sure to schedule travel such that they are present well ahead of their presentation time (it is recommended to arrive at least the day before the Lecture Competition to avoid any transit delays causing absence).
In conclusion of this chapter, the Organizers reiterate that Active Participants form the heart of the Dent-X mission to foster new talent. All rules in this chapter are to ensure fairness and a smooth experience for those presenting. Active Participants by agreeing to these Terms commit to uphold the integrity and spirit of the competition and the congress. We look forward to the contributions of our Active Participants on March 12, 2026.
Chapter 08
Code of Conduct and Participant Obligations
8.1. Professional Behavior:
All Participants, regardless of category, are expected to conduct themselves in a professional and respectful manner throughout the Dent-X Congress. This extends to all interactions – during scientific sessions, workshops, social events, and online communications via any official congress platform or social media. Professional behavior includes courtesy towards speakers, moderators, fellow participants, Organizers, venue staff, and sponsors. Disruptive actions such as talking loudly during sessions, heckling or harassing speakers, or monopolizing Q&A time in a disrespectful manner are not acceptable. The Organizers reserve the right to intervene and issue warnings or remove individuals from a session (or the Event entirely) for behavior that undermines the academic or social environment of the congress.
8.2. Harassment and Non-Discrimination:
Dent-X Congress maintains a zero-tolerance policy for any form of harassment or discrimination. This means that any verbal, physical, or written conduct that denigrates or shows hostility or aversion toward an individual on the basis of race, gender, gender identity or expression, age, color, religion, national origin, sexual orientation, disability, or any characteristic protected by law, is strictly forbidden. Unwelcome sexual advances, requests for sexual favors, and other verbal or physical conduct of a sexual nature are considered harassment and are prohibited. If you witness or experience harassment or discriminatory behavior, you should report it to the Organizers (look for a staff member or help desk) immediately. All complaints will be taken seriously and investigated promptly and confidentially. The Organizers may take any action they deem appropriate, including warning the offender or expelling them from the Event with no refund. The safety and dignity of our participants is paramount.
8.3. Substance Use and Intoxication:
Participants are not permitted to attend congress activities while intoxicated or under the influence of any illicit substances. Moderate consumption of alcohol is allowed at designated social events (such as the Opening Party or during coffee break prosecco service), and we expect participants who choose to drink to do so responsibly. Each participant is directly responsible for their own alcohol intake and its consequences. Excessive drunkenness, disorderly conduct, or endangering oneself or others due to intoxication will result in intervention by the Organizers or security personnel. At minimum, an intoxicated individual may be asked to leave a session or event; at worst, their Congress Pass may be revoked and they may be removed from the premises entirely for the remainder of the congress. The use, possession, or distribution of illegal drugs at the Event Venue or any Event Location is strictly prohibited and will result in immediate expulsion and referral to law enforcement. In summary, enjoy the social aspects of Dent-X responsibly, and remember that professional conduct is expected even during leisure moments associated with the congress.
8.4. Personal Property and Security:
Participants are responsible for their personal belongings during the congress. The Organizers and venue will implement reasonable security measures (access control, badge checks, possibly security personnel), but ultimately cannot guarantee against theft or loss of items. We advise that you do not leave bags, electronics, or valuables unattended. If coat/baggage check services are provided, utilize them for large items. In hotel rooms or accommodations, use safes if available for important documents and valuables. The Organizers are not liable for theft or damage to personal property of Participants at Event Locations. If you experience a theft or loss, report it to the congress staff; we will assist in contacting venue security or local authorities, but our assistance does not imply liability. Conversely, any participant caught stealing or intentionally damaging someone else’s property or any Event/Venue property will be subject to immediate disciplinary action (expulsion from the congress) and potential legal action. Theft of any kind will not be tolerated.
8.5. Compliance with Law and Venue Rules:
Participants must abide by all applicable laws of the jurisdiction where the Event is held (Romania) as well as the internal rules and regulations of the Event Venue (Radisson Blu Hotel Bucharest) and any other venues used for congress activities. This includes health and safety regulations, fire codes, smoking restrictions (smoking is not permitted indoors, and only in designated areas outdoors), and any specific venue directives. For instance, if parts of the congress are in hospital or university facilities for workshops, any regulations of those institutions (like dress code in clinical areas or infection control rules) must be respected. If any participant engages in illegal activities (such as vandalism, assault, drug use, etc.) on the congress premises, the Organizers will involve law enforcement as appropriate and will revoke the participant’s Congress Pass without refund. We expect all participants to behave as law-abiding visitors in the host city.
8.6. Badge Misuse:
Your congress badge is personal to you. Sharing or lending badges is prohibited. Do not give your badge to someone else to attend in your place; the Organizers check IDs at registration and random badge checks may occur. If you lose your badge, report it (as mentioned in Clause 4.6) and obtain a replacement – do not attempt to use someone else’s badge. Anyone found wearing a badge that does not match their identity, or any person found to be an unregistered individual using a counterfeit or someone else’s badge, will be removed from the Event. The Organizers might take further action such as banning the involved parties from future events.
8.7. Dress Code and Decorum:
There is no strict dress code for attendees, but a general guideline is business casual or clinic attire for the scientific sessions and smart casual or semi-formal for the Opening Party or any formal dinner (if applicable). As many participants will be representing their universities or clinics, we encourage a neat appearance. For those presenting (Active Participants, speakers), professional attire is expected during your presentation. In workshops that require clinical simulation, you may be asked to wear scrubs or lab coats – these instructions will be provided. In any case, clothing with offensive language or imagery is not allowed. The Organizers reserve the right to ask a participant to change attire if it is deemed extremely inappropriate or disruptive.
8.8. No Sales or Unauthorized Promotion:
Participants are not allowed to engage in unauthorized commercial activities during the congress. While sponsors and exhibitors have designated areas to promote products, regular participants should not be distributing flyers, setting up demonstrations, or selling goods/services on the side. Any participant who is present in a capacity that involves promotion (for example, if you’re representing a startup or a product unofficially) must have prior approval and likely should be an exhibitor. If a participant is found handing out promotional materials or soliciting business without authorization, the materials will be confiscated and the participant may be required to cease such activity or leave the Event. Academic promotion (like sharing university program brochures) is generally acceptable on a small scale, but should still be done in a collegial manner and not as a campaign.
8.9. Media and Recording Policy:
The Organizers may employ official photographers and videographers to document the Dent-X Congress for promotional and archival purposes. By attending the Event, Participants acknowledge that they may be photographed or recorded (for instance, a camera crew might film a session or take crowd shots in the auditorium or at social events). The Organizers own the rights to these photographs and recordings and may use them in future marketing, on our website, social media, or other publications, without remuneration to participants. If you have a serious concern about appearing in media (for instance, if you cannot be photographed for personal safety reasons), you should inform the Organizers in advance and we will attempt to accommodate reasonable requests (like asking official photographers to avoid you).
Participants are generally allowed to take personal photographs in congress venues, as long as it’s not disruptive and as long as you respect any request from a speaker or exhibitor not to photograph certain content (e.g., some speakers may state “no photos of this slide” if it contains unpublished data). Flash photography during sessions is discouraged as it can distract speakers. For recording, audio or video recording of entire sessions is not allowed without prior permission from the Organizers and the speaker. This is to protect intellectual property and encourage open sharing by speakers. Short personal snippets (like a 10-second clip for social media) might be tolerated, but anything extensive is not. Live streaming any session is forbidden unless the Organizers themselves arrange it.
Media representatives (journalists, bloggers) must identify themselves to the Organizers and abide by any press policies (they typically receive press badges and are briefed on what is open for reporting and what is embargoed). Participants should be aware that if press are present and you ask questions or make comments in sessions, those could be reported publicly.
8.10. Social Media Use:
The Organizers encourage Participants to share their positive experiences on social media (using official congress hashtags if provided) to spread knowledge and excitement. However, when posting about the congress, do so responsibly: do not share details of someone’s presentation beyond what was publicly stated (especially avoid posting someone’s data slides if they requested not to). Also, continue to respect privacy – don’t post identifiable photos of others without consent, especially if taken in informal settings. Complaints or issues should ideally be directed to the Organizers in person or via official channels rather than being aired publicly on social media in a way that could harm the congenial atmosphere; we are open to feedback and resolving issues professionally.
8.11. Enforcement of Code of Conduct:
The Organizing Committee will have designated staff or volunteers observing general compliance with these conduct guidelines. If an issue is noted, the typical procedure is: first, a verbal warning or private discussion to address the behavior; if the behavior persists or is severe (like harassment, violence, or illegal activity), it may result in immediate ejection from the session or the entire Event without further warning. For serious matters, a written record will be made and kept by the Organizers. In egregious cases, the Organizers may also involve hotel security or local law enforcement authorities. It’s our hope and expectation that such interventions will be exceedingly rare. The vast majority of Dent-X Congress participants and guests historically have conducted themselves exemplarily, and we anticipate the same high standard at the 6th Edition.
Chapter 09
Liability and Disclaimers
9.1. General Liability of Organizers:
The Organizers (LSMDB and the Dent-X Congress committee) will perform their duties in arranging and hosting the Event with due care and professionalism. However, to the fullest extent permitted by applicable law, the Organizers shall not be liable for any direct, indirect, incidental, or consequential loss, injury, or damage to persons or property resulting from or connected with the participation in Dent-X Congress 2026 or use of the Event Website. By agreeing to these Terms and attending the Event, Participants assume all risks associated with attendance and participation. This waiver of liability includes, but is not limited to: personal injury, illness, theft, or damage to personal belongings at the Event, delays or interruptions in event programming, or dissatisfaction with the content or outcomes of the Event.
9.2. Medical Emergencies and Insurance:
The Organizers will have basic first aid services available on-site (for example, there may be a medical kit or personnel trained in first aid for minor injuries or illnesses). In case of a medical emergency involving a participant, the Organizers will coordinate with local emergency services (calling ambulance, etc.) as needed. However, each Participant is responsible for their own health and travel insurance. The congress does not provide health or accident insurance for participants. It is recommended that international participants in particular ensure they have adequate travel medical insurance coverage for the duration of their stay. The Organizers are not liable for the costs of any medical treatment or hospitalization a participant may require, nor for any travel-related incidents such as flight cancellations or lost baggage – those should be covered by the participant’s own insurance or travel arrangements.
9.3. Responsibility for Personal Actions:
Each Participant is liable for any damage they may cause to property or other individuals at the Event. This includes damage to the venue (for instance, if someone accidentally or intentionally breaks equipment or causes a facility damage), or harm caused to others (for example, spilling coffee on someone’s laptop – you could be asked to compensate for that). The Organizers will hold participants accountable and may seek reimbursement for any costs incurred due to a participant’s actions (including cleaning, repair, or replacement charges). By attending, you agree to indemnify and hold harmless the Organizers against any claims or expenses (including legal fees) resulting from your acts or omissions, negligence, or willful misconduct during the Event.
9.4. Third-Party Providers:
The congress relies on services from third parties, such as the venue, caterers, audio-visual equipment providers, payment processors, sponsors’ contributions, etc. While the Organizers coordinate with these parties, we cannot accept liability for any failures or negligence on their part. For instance, if the venue’s internet fails, if a caterer’s food causes an allergic reaction because a participant didn’t heed labels, or if a sponsor’s demonstration causes an issue, those are situations where the third party bears primary responsibility. We will, of course, assist participants in resolving any problems and make appropriate demands on the third parties, but ultimately any remedy might be limited to what those third parties offer. Participants also agree not to hold the Organizers liable for delays, changes, or cancellations that arise from actions of third parties (like a speaker failing to show up, which is essentially the speaker’s responsibility – though we try to manage impact).
9.5. No Guarantee of Outcomes:
The Organizers make no guarantees regarding specific outcomes for participants. For example, we do not guarantee that participants will achieve any particular learning outcomes, find business or academic opportunities, or win any competition. We encourage participants to take advantage of the networking and learning environment, but the results depend largely on individual initiative and external factors beyond the Organizers’ control. Similarly, while we hope the congress is professionally rewarding, we cannot guarantee any accreditation or credit (unless explicitly stated, the congress itself does not automatically confer continuing education credits recognized by a governing body, unless we announce specific CE partnerships).
9.6. Complaints and Issues:
If a Participant encounters a significant issue during the Event (such as a problem with lodging arranged through the congress, or a concern about safety or any breach of these Terms), they are urged to report it promptly to the registration/help desk or to a recognizable Organizing Committee member. We will make reasonable efforts to resolve genuine complaints in real-time. However, any claims against the Organizers (for instance a request for partial refund due to a problem) must be made in writing and submitted no later than 14 days after the conclusion of the Event. After this period, the Event is considered delivered satisfactorily, and the Organizers will not be obligated to consider claims. Any agreed resolution (e.g., a refund or discount code for a future event as a goodwill gesture) will be at the Organizers’ discretion and not an admission of liability.
9.7. Force Majeure:
The Organizers shall not be held liable for any failure to perform any obligation under these Terms, or for any delay or cancellation, if prevented or affected by a force majeure event. Force majeure is defined as any event that is beyond the reasonable control of the Organizers and that makes it impossible or unreasonably impractical to hold the Event as planned. Such events include, but are not limited to: natural disasters (e.g., earthquakes, floods, extreme weather conditions), fire or other damage to the venue, war, acts of terrorism or threats thereof, civil unrest or riots, pandemic or epidemic outbreaks or public health emergencies, official government or authority orders (such as lockdowns, travel bans, or assembly restrictions), strikes or labor disputes affecting critical services, or widespread power or communication outages. In the event that Dent-X Congress 6th Edition must be cancelled, curtailed, or rescheduled due to force majeure, the Organizers will inform participants as soon as possible and will make reasonable efforts to mitigate the impact.
9.8. Refunds in Force Majeure Event:
If a force majeure situation forces cancellation of the entire Event before its start, the Organizers will, to the extent financially feasible, refund participants’ registration fees either in full or pro-rata, after deducting any irrecoverable costs already incurred. (For example, if a portion of expenses cannot be recouped, the available funds will be distributed fairly among participants as refund shares.) If the Event is interrupted or terminated after it has begun (for instance, mid-week due to a sudden lockdown or emergency), the Organizers will evaluate partial refunds or credits for a future edition, as appropriate, given how much of the program was delivered. Participants agree that aside from registration fees, the Organizers are not liable for any other costs incurred by participants in connection with the Event that is affected by force majeure – this includes travel expenses, accommodation, visa fees, or any consequential losses. Participants should rely on their own travel insurance for such recoveries. Additionally, the Organizers reserve the right to alternatively postpone the Event or convert certain portions to a virtual format if faced with force majeure, in which case all registrations would be honored for the new dates or format without additional cost. If a participant cannot attend the rescheduled Event, the standard withdrawal policies would apply, though we would try to be accommodating given the circumstances.
9.9. Indirect Damages:
Under no circumstances will the Organizers be liable for any indirect or consequential damages incurred by participants, such as loss of opportunity, loss of income, business disruptions, or reputational harm, even if advised of the possibility of such damages. The maximum aggregate liability of the Organizers for any claim arising out of or relating to these Terms or the Event shall not exceed the amount of the registration fee paid by the claimant participant. Some jurisdictions do not allow the exclusion or limitation of liability for certain damages, so to that extent, parts of this clause may not apply to a participant who is protected by such laws. However, in such case, the Organizers’ liability will be limited to the maximum extent permitted.
9.10. Legal Compliance and Release:
Nothing in these Terms and Conditions is intended to limit or exclude any liability that cannot be limited or excluded by law, including liability for death or personal injury caused by negligence, or fraudulent misrepresentation. Subject to the above, each participant, by agreeing to these Terms, also releases and discharges the Organizers, their officers, directors, employees, agents, and volunteers, from any claims or liabilities arising from the participant’s attendance at the Event, except to the extent caused by the gross negligence or willful misconduct of the Organizers.
Chapter 10
Final Provisions
10.1. Contractual Nature:
These Terms and Conditions constitute a binding contract between the Participant and the Organizers (LSMDB) upon the Participant’s acceptance (which occurs when the participant registers for the Event, and is reconfirmed by their continued use of the Event Website or attendance at the Event). This Contract represents the entire understanding and agreement between the parties with respect to Dent-X Congress 6th Edition and supersedes any prior or contemporaneous oral or written communications, proposals, or agreements (if any) concerning the subject matter. Any additional agreements or waivers must be made in writing and signed by an authorized representative of the Organizers.
10.2. Governing Law and Jurisdiction:
This Contract and any disputes or claims arising out of or in connection with it, or its subject matter or formation (including non-contractual disputes or claims), shall be governed by and construed in accordance with the laws of Romania, as applied in the jurisdiction of Bucharest. The parties agree that the courts of Bucharest, Romania shall have exclusive jurisdiction to settle any dispute or claim that arises out of or in connection with these Terms and Conditions or the Event. Notwithstanding the foregoing, the Organizers reserve the right to pursue legal action for injunctive or preventive relief in any competent jurisdiction if necessary to protect their interests or enforce any provision (for example, to prevent unauthorized use of intellectual property).
10.3. Dispute Resolution:
In the event of any dispute between a Participant and the Organizers, the parties shall first attempt to resolve the matter amicably through negotiation. The Participant should contact the Organizers in writing (via the official Dent-X Congress email or mailing address) detailing the issue. The Organizers commit to respond in good faith within a reasonable time and to seek a fair resolution. If a resolution cannot be reached through direct discussion within 30 days, each party is free to seek remedies through the courts as per Clause 10.2. (Participants should note that arbitration or mediation is not mandated by these Terms, but the Organizers are open to alternative dispute resolution methods by mutual agreement if it would lead to a quicker or more harmonious outcome.)
10.4. Visas and Travel Documents:
International Participants are responsible for securing any necessary travel documents, such as entry visas, to attend the Event. Upon request, the Organizers can issue an official Invitation Letter to support visa applications, confirming the Participant’s intention to attend the congress. Such letters will be provided after the Participant has registered and paid the required fee (or in the case of Active Participants, after acceptance, even if fee is waived). Invitation letters will include details like the participant’s name, passport number, the Event dates and venue, and contact info of Organizers, and will state that the person is invited to attend Dent-X Congress as a participant (or speaker). However, the Organizers have no influence over visa decisions made by embassies/consulates, and are not liable if a participant is unable to attend due to visa denial or delays. It is recommended to apply for visas well in advance. The Organizers will not refund registration fees on the basis of visa issues unless the refund request is made before the cancellation deadline as per standard policy (or unless a specific exception is granted at our discretion). It is the Participant’s responsibility to ensure their passport is valid for the required period and that they meet any entry requirements (health or otherwise) of Romania.
10.5. Language:
These Terms and Conditions are provided in English, which is agreed to be the controlling language for all contractual and informational purposes related to the Event. If any translations of these Terms are provided (for example, a Romanian version or other language summary), they are only for convenience. In case of any ambiguity or conflict between the English text and a translated text, the English version shall prevail and be given priority in interpretation.
10.6. Severability:
If any provision or part-provision of these Terms and Conditions is or becomes invalid, illegal, or unenforceable under applicable law, that provision or part thereof shall be deemed modified to the minimum extent necessary to make it valid and enforceable. If such modification is not possible, the relevant provision or part-provision shall be deemed deleted. Any modification or deletion of a provision under this clause shall not affect the validity and enforceability of the rest of this Contract. The remaining provisions will continue in full force and effect.
10.7. No Partnership or Agency:
Participation in Dent-X Congress does not create any joint venture, partnership, employment, or agency relationship between the Participant and the Organizers. Participants attend in their own capacity. Volunteers or representatives working for the Event do so under specific agreements and are not considered agents empowered to alter these Terms. No Participant shall be entitled to act or make representations on behalf of the Organizers unless expressly authorized in writing.
10.8. Rights of Third Parties:
These Terms and Conditions are intended to confer rights and obligations only on the Organizers and the Participants. Except as expressly stated herein, no third party may claim any rights or benefits under this Contract. (For example, if a Participant’s employer or university paid for the registration, that entity is not party to this agreement with the Organizers and has no direct claims under it; any arrangements between a participant and a third-party sponsor are separate.)
10.9. Notices:
Any official notices or communications under this Contract by the Organizers to Participants will be given via email (to the address provided during registration) or via postings on the Event Website. Participants shall be deemed to have received communications sent by email within 24 hours of sending, provided no bounce-back or error is received by the Organizers. It is the Participant’s responsibility to keep their contact information up to date and to check for announcements. Communications from Participants to the Organizers should be sent to the official Dent-X Congress email address (as listed on the website, e.g., dentxcongress@lsmdb.ro) or through any designated communication channels provided.
10.10. Prevailing Authority of Terms:
In the event of any inconsistency between these Terms and Conditions and any other information published in relation to the Dent-X Congress (for example, info on the website, FAQs, or brochures), these Terms shall prevail to the extent of the inconsistency, as they form the legal basis of the Participant-Organizer agreement. Participants should thus consider these Terms as the authoritative source for rules and policies, and treat other materials as explanatory but not contractual, unless explicitly stated otherwise in those materials that they are intended to modify the Terms (which would be unusual and would itself be communicated to all Participants if ever needed).
10.11. Acceptance of Terms:
By completing the registration process (or by attending the Event, in the case of invited guests or others who may not go through the standard online registration), you acknowledge that you have read, understood, and agree to abide by these Terms and Conditions in their entirety. You also agree that your participation in the Event is at the discretion of the Organizers and that the Organizers have the right to take action per these Terms if you do not comply. These Terms and Conditions will be made available on the Event Website for reference, and a copy may be emailed with registration confirmations. Participants are encouraged to retain a copy for their records.
By order of the Dent-X Congress 6th Edition Organizing Committee, these Terms and Conditions are hereby established and effective as of the date of publication (and will remain effective until replaced or updated by a newer version).
